Google Docs invoice templates guide

Invoicing from your browser with Google Docs

Google Docs is free, works on any computer, saves automatically, and is already where many small businesses keep their paperwork. These twelve templates give you a professional invoice without installing anything: click, make a copy, type, and send.

Which template should you choose?

All twelve share the same structure: your details, the client's details, invoice number and dates, a line-item table, totals, and payment information. They differ in tone and in the fields they add.

  • Classic, Modern, Minimal. Three general-purpose designs. Classic is formal and serif; Modern has a colour header and striped rows; Minimal strips everything back to black and white.
  • Freelancer and Hourly. Rows for date, task, and hours, so clients can see exactly what the time was spent on.
  • Consulting. Bills by phase and day rate, with project and purchase-order numbers and a separate expenses line.
  • Contractor and Service. Labour and materials tables, job-site or service address, permit number, deposit received, and warranty notes.
  • Proforma and Commercial. For quotes before an order and for goods crossing borders: HS codes, Incoterms, country of origin, weights, and a declaration.
  • Rent and Photography. Niche layouts with the fields those businesses actually need: rental period and late fees, or shoot date, image count, and usage licence.

How to use a Google Docs invoice template

  1. Click Open in Google Docs on the template you want. Google shows a page asking whether to copy the document.
  2. Choose Make a copy. The invoice opens in your own Drive, named "Copy of …". Rename it from the title bar, for example "Invoice template – master".
  3. Replace the placeholders. Click the YOUR LOGO box and delete it, then Insert → Image to add your logo. Type over the company and client details, invoice number, and dates.
  4. Fill in the line items. Click into the table and type. To add a row, right-click a row and choose Insert row below. To remove the blank rows, right-click and choose Delete row.
  5. Calculate the totals. Google Docs does not add numbers, so work out the subtotal, tax, and total and type them in. For automatic totals use the Google Sheets templates.
  6. Download as PDF. File → Download → PDF document. Email the PDF rather than sharing the editable document.
  7. Keep the master. For each new invoice, open your master copy and choose File → Make a copy again, so the master stays blank.

Tips for Google Docs invoices

  • Use the version history (File → Version history) if you accidentally overwrite something. Every change is saved.
  • Name files consistently, for example "INV-0042 – Client Name", so Drive search finds them instantly.
  • Keep invoices in one folder per year or per client. Share the folder with your bookkeeper rather than individual files.
  • Change the colour of the header band or table headings with Format → Table properties, or by selecting the text and choosing a text colour, to match your brand.
  • Work offline by turning on offline access in Drive settings; the document syncs when you reconnect.

Google Docs or Google Sheets?

Choose Docs when your invoice is mostly words: a project description, a few lines, and a total you are happy to type. Choose Sheets when you bill many items, charge tax, give discounts, take deposits, or simply never want to add numbers by hand again. Both export the same way to PDF, and both live in your Drive.

Frequently asked questions

How do I use a Google Docs invoice template?

Click the template, and Google asks whether to make a copy. Choose Make a copy and the invoice is saved to your Google Drive under your own account, where you can edit it freely. The original stays untouched.

Do I need a Google account?

Yes, a free Google account is needed to copy a Google Docs template into your Drive. If you would rather not sign in, download the Word or PDF version of the same design instead.

Can I download a Google Docs invoice as a PDF or Word file?

Yes. In Google Docs choose File, Download, then PDF document or Microsoft Word. Send clients the PDF so the layout cannot be changed.

Do Google Docs invoices calculate totals automatically?

No. Google Docs is a word processor, so you type the amounts yourself. If you want totals, tax, and discounts calculated, use one of our Google Sheets invoice templates.

Can I add my logo to the template?

Yes. Click the YOUR LOGO placeholder, delete it, then choose Insert, Image, and upload your logo. Resize it by dragging a corner.
