Blank invoice template guide

When a blank invoice is the right choice

Not every job needs a branded, formula-driven invoice. A blank invoice gives you the structure of a proper bill with none of the setup, which makes it ideal for one-off work, cash jobs, markets and fairs, or any time you need to hand a customer something on the spot.

Who uses blank invoices

  • Tradespeople and handypeople who finish a job and want to leave an invoice before driving off.
  • Market and craft sellers who need an occasional invoice for a larger or business purchase.
  • Private sellers moving a vehicle, furniture, or equipment who want a written record for both sides.
  • Landlords, tutors, and carers who bill the same amount regularly and prefer a simple paper trail.
  • Anyone without a logo yet. You can start invoicing today and add branding later.

Filling in a blank invoice by hand

  1. Print a small stack of the PDF or Word version so you always have one to hand.
  2. Write your details at the top: name or business name, address, phone, and email. A rubber stamp saves time if you do this often.
  3. Add the customer's name and address, the date, and a unique invoice number. Keep a notebook or phone note with the last number used.
  4. Describe the work or goods, one item per line, with quantity and price. Round numbers are fine, but be clear.
  5. Total it up, add tax if you charge it, and write the amount due in figures.
  6. Note how to pay and by when. If you were paid on the spot, write "Paid" with the date and method.
  7. Take a photo of the finished invoice before handing it over. That is your copy for your records and your tax return.

Filling in a blank invoice on a computer

Open the Google Docs version and choose Make a copy, or download the Word file. Click into each field and type. Because the template has no branding, you can leave the header plain or add a logo later. When you are done, download it as a PDF and email it, or print it.

Frequently asked questions

What is a blank invoice template?

A blank invoice is a pre-formatted invoice layout with empty fields and no logo or business branding. You fill in your details, the client, the items, and the amounts each time.

Can I fill in the blank invoice by hand?

Yes. Print the PDF or Word version and write in the details. Use a pen, write clearly, and keep a copy for your records.

Is a handwritten invoice legally valid?

In most places, yes, as long as it contains the required information: both parties, a date, a unique number, a description of the goods or services, and the amount due. Check your local tax rules for anything extra.

How do I add my logo to the blank invoice?

Open the Word or Google Docs version, click the top of the page, and insert your logo image. If you only need it once, leave it blank and stamp or write your business name.
