How to use it in Microsoft Excel
- 1
Download the .xlsx file and open it in Excel. Click Enable Editing if Excel asks.
- 2
Type your business details and the client’s into the header cells.
- 3
Enter a description, unit cost, and quantity on each row. The Amount column fills itself in.
- 4
Type your tax rate in the Tax Rate cell. Subtotal, Tax, and Invoice Total update automatically.
- 5
Insert extra rows inside the item block if you need them, then copy an Amount formula down.
- 6
Choose File, Save As, PDF to create the copy you send.
Formulas without the formatting
Each Amount cell multiplies Qty by Unit price, Subtotal adds the Amount column, and Total due adds Subtotal and Tax. Type a tax amount or a formula such as the subtotal times your rate into the Tax cell. Everything else is plain, so you can add your own colours and logo without fighting a design.
Keeping the sums intact
Insert new rows inside the item block so the Subtotal range grows, then copy an Amount formula into the new row. If a cell shows #VALUE!, a currency symbol or letter has crept into a number cell; clear it and retype the number alone.
Tips
- Type the tax as a formula, for example =F31*0.08, so it updates with the subtotal.
- Save a copy per invoice and keep the blank as your master.
- Save as PDF before sending.

Yes. Choose Insert, Pictures and place it in the empty From area.
Does it work in Google Sheets?
Yes. Upload it to Drive, or use the Blank Google Sheets Invoice Template directly.
