Invoice forms guide

Printable invoice forms for everyday billing

An invoice form is an invoice layout designed to be printed in quantity and filled in on the job. Plumbers, electricians, cleaners, movers, landscapers, and mobile mechanics have used paper invoice books for decades, and a good form still beats a phone screen when your hands are dirty.

Choosing a form

  • PDF invoice form. The best choice for printing in bulk. It prints identically every time and fits A4 and US Letter.
  • Blank invoice form. Neutral and unbranded, with generous space for handwriting.
  • Word or Google Docs form. Add your logo and business details once, then print as many as you need.
  • Excel or Google Sheets form. Use these if you sometimes fill forms in on a laptop and want the totals calculated.

Setting up a printed invoice book

  1. Customize the form. Open the Word or Docs version, add your business name, address, phone, email, and tax number to the header, and export to PDF.
  2. Decide on numbering. Either leave the number blank and write it in from a running list, or ask a print shop to add sequential numbers. Numbered forms are easier to audit.
  3. Print or order. Print at home on plain paper for small volumes, or have a print shop produce a padded book. Two-part carbonless (NCR) paper gives the customer a copy instantly.
  4. Keep the copies. File your copies by number. They are your sales record for tax purposes.

Filling in an invoice form correctly

  • Write in block capitals with a ballpoint pen so carbon copies are legible.
  • Fill in every field, including the date and your invoice number. Draw a line through unused item rows so nothing can be added later.
  • Describe the work plainly: "Replace kitchen tap, supply and fit, 1.5 hours" rather than "Plumbing".
  • Total the form carefully and write the amount due in figures. If tax applies, show it on its own line.
  • If the customer pays on the spot, write "PAID", the date, and the method, and sign it.

Forms for estimates, quotes, and receipts

The same layout works for other paperwork. Change the heading to Estimate or Quote for pricing before a job, and to Receipt when confirming a payment. Keeping the three visually distinct, for example by printing on different coloured paper, avoids mix-ups. See our receipt template guide for what a receipt must include.

Frequently asked questions

What is the difference between an invoice form and an invoice template?

They are the same document used differently. A form is usually printed in quantity and filled in by hand on site; a template is completed on a computer for each job. All of our files work either way.

Can I print invoice forms in a pad or book?

Yes. Print the PDF version in the quantity you need and have a print shop pad them, or use carbonless paper if you want an instant copy for the customer.

How should I number pre-printed invoice forms?

Write the number by hand from a running list, or ask your print shop to add sequential numbering. Never leave invoice numbers blank or reuse them.

Do I need a separate form for estimates?

It is best practice. Change the heading from Invoice to Estimate or Quote so the customer does not mistake it for a bill.
